Purpose of Role:

In your role as Contracts administrator it sits at the heart of everything that you do, keeping the customer and the forefront in all prioritisation of activities is an essential part of this role.

To provide comprehensive and consistent administrative/system support across the various teams within the business. In particular Customer Service Support and support for the engineers, Project Managers, Operations Manager and Managing Director with priority always to delivering first class customer service for our current and prospect customers. Supporting projects and duties as required, providing outstanding customer satisfaction through efficient delivery of service, conscientious and effective management of sometimes conflicting priorities to ensure that time is used effectively.

 

Key Accountabilities:

o Accountability for ensuring that all requirements are delivered in line with departmental SLA’s ensuring an excellent customer experience.

o Provide support by answering phone calls and emails in line with departmental measures, with a focus on quality and internal/external customer satisfaction.

o Monitoring of Administration mailbox, responsible for the delivery of the full range of administrative tasks to include;

o Customer Service (effective close down of customer telephone requests bothprospect & existing.

o Effective escalation of prospect enquiries to the OM, including all relevant information required to progress to quotation.

o General office administration including system updates, filing and database management.

o Cover for other admin functions during busy periods and to cover absence from within the team, responsible for delivery of the full range of administrative services to include;

o Meeting preparation (Internal & External)

o dealing with the post, faxes and e-mail;

o General ad-hoc duties as and when required;

o Monitoring stocks of basic items such as stamps & stationary;

o Purchasing of materials and equipment for various projects;

o Drafting and sending standard letters;

o Schedule dates and delegate PPM and repair work

o Develop and implement PPM contracts

o Develop and implement quotations to clients for remedial works.

o Work flexibly to achieve Team objectives.
